# About Alerts

## Introduction to Alerts

Alerts are incident reports regarding health, safety, security, and travel-related events to help people stay safe by mitigating risks. Safeture's [Risk Intelligence Content Suppliers](https://help.safeture.com/product-information/risk-intelligence-content-suppliers.md) cover various incidents, such as political developments, crime, disease outbreaks, and terrorism. Their experienced risk intelligence analysts verify and assess information before issuing an alert when an incident occurs.

Alerts can be distributed in several different ways: through the Safeture mobile app, in the web portal's alert feed, or email.

## Alert Risk Assessment Methodology

All alerts published on the Safeture platform are assigned a risk level---low, medium, or high. Each alert is also categorized into one or more alert risk categories, depending on the content provider.
**Please note:**The risk levels and risk categories used for the alert risk assessments, are different from the methodology used for the country risk assessment. Alert risk assessment methodology also differs depending on chosen Risk Intelligence provider.

## **Define the impact radius**

After an incident is detected, the analysts assign it an impact radius, i.e., the geographical area impacted by the incident. This is based on the type of the incident. For instance, a shooting is seen as a local incident while an earthquake might have a region wide effect.

## **Risk level and risk category**

The analysts assign a risk level to the incident before publishing it as an alert. The alert can have one of three risk levels; low, medium, or high. To describe the type of incident that has occurred, the alert will have one or more risk categories assigned.

### **Alert Risk Levels**

**Low:**Information that may be good to know, such as public transport disturbances, minor demonstrations, or updates to previous alerts.

**Medium:**Incidents or threats that have recently occurred or may occur in the coming days and present some security risks.

**High:**Immediate and serious threats to safety and/or health.

# Add recipients with advanced filtering

Advanced Filtering is a method for adding recipients that allows you to target specific people or groups using shared parameters from the list of filter options. You can add one or several Advanced Filters at once.

1. **Click on either 'New Chat' or 'New one-way message' in the web portal menu**

![Guide_add-recipients-with-advanced-filtering-communication-menu-_new-chat_new-one-way-message.png](https://help.safeture.com/__attachments/a_b5f72df245f715e7012ad7fbd1aefc3c59ccdbbeff6367a1d2d7d5515fdb8b71/Guide_add-recipients-with-advanced-filtering-communication-menu-_new-chat_new-one-way-message.png?cb=7533682c5989eb160e241961a32dacb4)

2. **Advanced filtering**

Click on "Advanced Filtering".
![Guide_add-recipients-with-advanced-filtering-advanced-filtering (1).png](https://help.safeture.com/__attachments/a_79bf3d3a3ae58d4d3d915dbbc798ab3bf8a62e9af00365dca25c0fff3f12d070/Guide_add-recipients-with-advanced-filtering-advanced-filtering%20(1).png?cb=a9b2e3e2bb70a6321fcec3f5fce16207)

3. **Select filter(s)**

Click on any of the filters in the left-side menu of the Advanced Filtering interface.

You can filter your people based on any of the following parameters:

* **Country:**Filter users that are currently located within one or more countries. Note that Facilities are not supported in this filter yet.

* **Emergency:** Filter out users that has an active Emergency.

* **Group**: Filter users based on the group they belong to.

* **Home:** Include users based on if they are, or are not, located in the country they have set to "home". Note that enabling this filter will automatically exclude all facilities, since this state is not set.

* **Last App Contact:** Only include app users whose app has been sending a report to the Safeture system within a certain time. Note that setting this filter will automatically exclude all non-app users, i.e., travel booking generated users.

* **Map Selection:** Option to draw a shape on a map and include any users and facilities within the area. The latest 300 Incidents are plotted on the map for reference.

* **App not installed:** For registered users with no active app.

* **Regions:** Filter users that are currently located within one or more region(s). Note that Facilities are not supported in this filter yet.

* **Tags:** Search for users and facilities with one or more tags set.

* **Type of recipient:**Filter facilities or users only.

* **Upcoming travel bookings to IATA:**Filter traveling users based on one or more IATA codes (airport codes) during a pre-defined time period. The IATA codes will include any booking with the IATA code attached, i.e., flights, hotels and rental cars. If the booking does not user IATA codes the traveling user will not be included, which depends on the source of the booking data.

* **Upcoming travel bookings to region:**Same as above, but filter based on the entire country instead of separata IATA codes.

* **Past travel booking to IATA/Region:**Same as above, but filter out historic bookings instead of upcoming ones.

![Guide_add-recipients-with-advanced-filtering-select-filters.png](https://help.safeture.com/__attachments/a_26e2d22379a03c5391ede87210399d57d17a87132ee24596575657600439c54e/Guide_add-recipients-with-advanced-filtering-select-filters.png?cb=216c3150ac269ec0f347faa551da4883)
**Please note!**

If you select multiple filters in the same filtering session, the recipients need to be a part of all filters to be added. However, if you add each filter during separate filtering sessions, everyone will be added. For example, adding a filter for both a Country and a Group means that the recipient needs to be present in both these filters to be part of the recipient list. It is however possible to add two filters where you add everyone in a country in a separate filter and everyone in a certain group in another filter.

4. **Add selected filter(s)**

When you are done filtering out people, it is possible to add the selected recipients and simply start messaging them. You can, however, also save your filtering settings as a "Dynamic Filter" to access and re-user it at a later point.

5. **View the list of recipients and final edits**

Under recipients, you will now see all users you have added through your filtering. If you wish, you can click the three dots showing when hovering over a user and click "remove". Now, your recipients are added, and you can proceed with preparing your message.
![Guide_add-recipients-with-advanced-filtering-recipients.png](https://help.safeture.com/__attachments/a_f2fddb7f10448cdf6123024521fa83a0294ceeefba1c7fa2a602cf6458f4994e/Guide_add-recipients-with-advanced-filtering-recipients.png?cb=9c6fa387977ff4d3d0f2818efa88fd8c)

6. **View the list of recipients and final edits**

Now, your recipients are added, and you can proceed with preparing your message.

# How To Manually Add a Travel Booking (PNR) in the Web Portal

**Last Updated:** February 19, 2026

A Passenger Name Record (PNR) is a booking reference containing key details about a passenger, including their name, contact information, travel dates, itineraries, seat assignments, and more. The Safeture Platform retrieves traveler data and booking details from each PNR and matches the listed travelers to users in the system. If the traveler data does not correspond to an existing user, a new traveler profile is automatically created.

This guide provides step-by-step instructions on how to manually add PNRs in the Safeture web portal.

## 1. **Access the Travel Data Section**

In the web portal menu, click on "Travel Data" to navigate to the page where you can manually add your travel bookings.

### 2. **Add a PNR (Passenger Name Record)**

Click the "Add PNR" button to start the process of adding a new travel booking.
![Travel Data Module.png](https://help.safeture.com/__attachments/a_8aabff59c56e1e201146df35ca8831e1ff8dcada1e7b2800f775f55df8f017c5/Travel%20Data%20Module.png?cb=754270c47e3b78c9d6f987587adb18b8)

#### 3. **Enter Travel Information**

* Enter the booking reference number from your confirmation email.

* Specify if the booking is for a flight, hotel, or car rental.

* For flights, enter each one-way flight separately. The dates should reflect the departure and arrival times of that specific flight. You will need to enter return flights separately.

* Provide the flight's route code.

* Add the supplier code and supplier name by searching for the airline or provider in the system and selecting the correct option.

![Flight Booking.png](https://help.safeture.com/__attachments/a_eb9b50124f55cbcc4e9eab2692458711625483f72ede71ca8a5e10368b42df3f/Flight%20Booking.png?cb=a91f06ada60a06002653bdc5bf98719d)

#### 4. **Optional: Add Additional Routes**

To add another flight, hotel, or car rental, repeat the process by clicking "Add" for each additional booking. Double-check the information and then click the green Next button.

#### 5. **Assign Travelers**

* If the traveler is already registered in the Safeture platform, search for their name in the search bar and select them from the list.

* If the traveler is not yet registered, click "Create New Traveler" and fill in the required details.

* You can assign multiple travelers to the same booking if needed.

# Add Travel Bookings via Email Parsing

Safeture offers a seamless way to integrate travel booking data by sending booking confirmations to a dedicated email address. These emails are automatically parsed to extract both booking and traveler details, with the system intelligently matching the data to existing Safeture users.

**Watch the video to learn how to add travel bookings via email parsing, or continue reading below for step-by-step instructions:**
<https://vimeo.com/1066921265/ab7431344f>

**Please note:** This feature only supports travel bookings containing a **single traveler**. Bookings with multiple travelers cannot be parsed.

## Method 1: End-user instructions

If you're an end-user parsing emails for your own travel bookings, please follow these instructions:

When you receive a travel booking confirmation via email from a booking agency, forward it to: **\<client_name\>@safeturetravel.com.** Replace **\<client_name\>** with your organization's name.

Best Practices Before Forwarding:

1. **Use the Correct Email:** The email must be sent from the same address registered in the Safeture platform.

2. **Correct Recipient:** The **\<client_name\>@safeturetravel.com** address must be placed in the **TO** field.

3. **Send Only the Booking Confirmation:** Forward the original booking confirmation email, including any attached **PDF itinerary**. Avoid sending:

   * Pre-trip approvals

   * Non-itinerary emails

   * Invoices or other unrelated content

4. **Follow Instructions Carefully:** If these guidelines aren't met, the platform may not be able to process the booking.

By ensuring these steps are followed, your travel booking data will be seamlessly integrated into the Safeture platform.
![image-20250207-105632.png](https://help.safeture.com/__attachments/a_812871c587922b53d39b2aa09408353d8f2d972cfda3de9d2e7b76fe15295549/image-20250207-105632.png?cb=546ace3b5cff269577e004dd39ea8f86)

*** ** * ** ***

## Method 2: Parsing on behalf of someone else

As an alternative to the user-forwarding option, you can send travel booking confirmations on behalf of another traveler---without their direct involvement.

**Send these emails to:** **\<client_name\>** [**.tmc@safeturetravel.com**](#)

**Example Use Case:**

You can forward a colleague's travel booking confirmation or have your Travel Management Company (TMC) send it directly to the Safeture Platform.

**Important Guidelines for Successful Parsing**

1. **Send the Email Directly to the Traveler:**

   * The **TO** field must contain only the traveler's email address.

   * This email must match the address the traveler has registered in the Safeture platform.

2. **Use the Correct CC Recipients:**

   * Add **\<client_name\>** [**.tmc@safeturetravel.com**](#) in the **CC** field.

   * Any other recipients (besides the traveler) should also be placed in **CC** , not **TO**.

3. **Forward Only the Booking Confirmation:**

   * Include any **PDF itinerary attachment** if applicable.

   * Do not send pre-trip approvals, non-itinerary emails, invoices, or other unrelated content.

Failure to follow these instructions may prevent the platform from processing the booking correctly.

By ensuring these steps are met, travel booking data will be seamlessly integrated into the Safeture platform.

# Alert report email

Traveling users can receive alerts via email, triggered for both users with the Safeture Mobile Application and those added through a PNR (Passenger Name Record). These alerts are sent when a user has a booking to or from an area where an alert has been published.

Traveling users will receive alerts in the following scenarios:

* **Departure locations (outbound airports)**:

  * 24 hours before and 4 hours after the scheduled take-off.

  * If the published incident is within 5 km of the booking location (airport/hotel/rental car) or if the booking's region matches the alert region.

* **Arrival locations (inbound airports, hotels, etc.)**:

  * 72 hours before the scheduled take-off.

  * If the published incident is within 50 km of the booking location or if the booking's region matches the alert region.

## How to activate this subscription:

This email subscription must be activated with the assistance of Safeture's Client Development team. At the time of activation, you can specify the minimum risk level for receiving alert report emails.

# Alert Risk Levels

All alerts published in the Safeture Platform are assigned a risk level---low, medium, or high---and categorized into one or more alert risk categories based on the content provider's methodology.

It's important to note that the risk levels and categories for alert assessments are distinct from those used for [country risk assessments](https://help.safeture.com/product-information/country-risk-assessment-methodology.md). Additionally, the methodology for assessing alert risks may vary depending on the chosen [Risk Intelligence provider.](https://help.safeture.com/product-information/risk-intelligence-content-suppliers.md)

* **Low Risk:** Information that is beneficial to know, such as minor disruptions to public transport, small-scale demonstrations, or updates to previous security advisories.

* **Medium Risk:** Events or threats that are likely to occur in the near future or have recently taken place.

* **High Risk:** Urgent and severe threats to safety and/or health that require immediate attention.

# Alert Statuses

Alerts are labelled in all communications to indicate whether they are upcoming, active, or inactive:

**Active:** A current ongoing alert within its start and end date. As long as an alert is still active, new users who enter the affected area will be notified, even after the initial publication. This includes users who travel into the affected area and those whose travel bookings become active with an arrival or departure location within the affected area.

**Inactive:** The alerts will become inactive at 23:59 (UTC) on their end date.

**Upcoming:** In cases where advance information is available, we will publish alerts up to three days before the planned event to help users stay informed and take necessary precautions.

# Alert Triggers

## Introduction to Alert Triggers

On publication of an alert, the Safeture Platform will automatically send an incident alert to the following people:

### **End users positioned within the impact area**

The Safeture platform will automatically send an alert to all end users whose latest reported position is located within any of the incident's impact areas. The end users' location reflects their privacy settings set in the Safeture mobile application. We recommend enabling the exact location to get as relevant alerts as possible.
An impact area can consist of one or more locations with a specific radius. The radius size is dynamic and determined by the risk intelligence supplier's analytical team. An area may also encompass one or more regions, such as a country or specific regions within a country.

### **End users with an upcoming travel booking**

End users will receive alerts based on upcoming travel bookings, enabling proactive travel risk management. The alerts' timeframe and radius will depend on whether the departure or arrival location is affected:

**Arrival locations:** Travelers will start receiving alerts about any incidents at their destination 72 hours before arrival up until 4 hours after the scheduled arrival time. These alerts will remain active in the system until 4 hours after the scheduled arrival time. Incidents within a 50km radius of the airport, hotel, train station or rental car location will trigger an alert for the traveller.

**Departure locations:**Travelers will start receiveing alerts about any incidents occurring at the departure location (i.e., the location they are traveling from) from 24 hours before the time of departure until 4 hours after departure from that location. The radius for these alerts will cover a 5km distance.

### **End users who have marked a country as a favourite**

End users who have marked a country as a favourite in the country information section of the app will receive newly published alerts for that country even if they are not travelling to, or are located within, that country.

### **Assets near an incident - alerts to admins**

Administrators responsible for end-user safety will receive alerts regarding incidents near assets such as people or facilities. These alert notifications will be sent to administrators via email and can also be configured to be sent via SMS. The email notification is titled "Personnel in Incident Region," and you can find more details about its content here.

# Analytics Module

**Last updated:**May 5, 2026

## Introduction to the Analytics Module

The Analytics Module consolidates data from various areas of the platform, providing your organization with insights into historical threat exposure, emergency responses, platform usage, and travel patterns. All data is anonymized to ensure individual privacy.

## General Information

**Data History**

The Analytics Module displays data going back approximately three years, although the starting point may vary depending on the data type.

**Data Refresh**

Data is updated daily, starting at 5:00 am (CET). Please note that the update process may take some time to complete.

**Default Filters**

Filtering options for accounts and user groups are available in the left side menu of each data view throughout the Analytics Module. These filters allow you to narrow down data to specific accounts or groups of users for more targeted analysis. All views displaying user data also include tag-based filtering.

The account filter is visible only to administrators with multi-account access, and it may take up to 24 hours for a newly granted account to appear in the filter options.

Filtering settings apply only to the current view and do not carry over when switching between different analytics pages.

# API

## 1. Subscription Data

Start by checking from which Content Producers you have access to retrieve risk assessment data. This is done via the subscriptions API.

\[GET\] -- Subscriptions

<http://api.safeture.com/contentproducer/subscriptions>

Response example:

    "data": [ {
    "contentproducerid": "SAFETURE",
    "contenttypeid": "RISK_ASSESSMENT",
    "allowcontentoverride": false,
    "rebrandable": true
    } ]

Copy

For now, 'allowcontentoverride' and 'rebrandable' can be ignored. But in the example above, we see that the risk assessment data comes from Safeture.

### 2. Risk Assessment Data from Content Producer

The next step is to get Safeture's (or which risk assessment content producer you have access to) risk levels and risk categories. To do that we use:

\[GET\] -- Risk levels

[http://api.safeture.com/riskassessment/{contentproducerid}/risklevels](http://api.safeture.com/riskassessment/%7Bcontentproducerid%7D/risklevels)

Response example:

    "data": [
            {
                "contentproducerid": "SAFETURE",
                "riskleveluuid": "0607d9a0-d7ef-11eb-bda3-43553f393972",
                "risklevelid": "NEGLIGIBLE",
                "risklevelvalue": 1,
                "risklevelname": "Negligible",
                "risklevelcolor": "#8CC740"
            },
            {
                "contentproducerid": "SAFETURE",
                "riskleveluuid": "0607ed3c-d7ef-11eb-bda3-2fbb431431f2",
                "risklevelid": "LOW",
                "risklevelvalue": 2,
                "risklevelname": "Low",
                "risklevelcolor": "#D2E038"
            }
    ]

Copy

\[GET\] -- Risk categories

[http://api.safeture.com/riskassessment/{contentproducerid}/riskcategories](http://api.safeture.com/riskassessment/%7Bcontentproducerid%7D/riskcategories)

Response example:

    "data": [
            {
                "contentproducerid": "SAFETURE",
                "riskcategoryuuid": "060833dc-d7ef-11eb-bda3-cb4da9f8902b",
                "riskcategoryid": "CIVIL UNREST",
                "riskcategoryname": "Civil Unrest",
                "description": "",
                "icon": "data:image/png;base64,iVBORw0KSUhEU.....",
                "weight": 1
            },
            {
                "contentproducerid": "SAFETURE",
                "riskcategoryuuid": "06081618-d7ef-11eb-bda3-6f44ef9e558f",
                "riskcategoryid": "CRIME",
                "riskcategoryname": "Crime",
                "description": "",
                "icon": "data:image/png;base64,iVBORw0KSUhEU...",
                "weight": 1
            }
    ]

### 3. Region Risk Assessment Data

The next step is to get the country risk assessment.

Here you can choose between two options:

(Viable for most API users) Read data from your predefined content producer for risk information that is set up in the platform. (If you have multiple subscriptions from different content producers that provides risk assessment and want to get the risk assessment data for your official provider). Then use the API call below.

\[GET\]

[http://api.safeture.com/regionriskassessment/region/{regionid}](http://api.safeture.com/regionriskassessment/region/%7Bregionid%7D)

If you subscribe to multiple risk providers use below api call to get specific data from subscribed content producer:

\[GET\]

[http://api.safeture.com/regionriskassessment/{contentproducerid}/region/{regionid}](http://api.safeture.com/regionriskassessment/%7Bcontentproducerid%7D/region/%7Bregionid%7D)

Response example:

    "data": {
        "producername": "Safeture",
        "contentproducerid": "SAFETURE",
        "regionid": "Sweden",
        "regionname": "Sweden",
        "iso3166_1": "SE",
        "description": "",
        "trend": 0,
        "trendprojection": 0,
        "riskleveluuid": "0607ed3c-d7ef-11eb-bda3-2fbb431431f2",
        "risk_assessment": [
            {
                "riskcategoryuuid": "060833dc-d7ef-11eb-bda3-cb4da9f8902b",
                "riskleveluuid": "0607ed3c-d7ef-11eb-bda3-2fbb431431f2",
                "riskassessmentbasic": "<p>Sweden experiences&nbsp; p>",
                "trend": 0,
                "trendprojection": 0
            },
            {
                "riskcategoryuuid": "06081618-d7ef-11eb-bda3-6f44ef9e558f",
                "riskleveluuid": "0607d9a0-d7ef-11eb-bda3-43553f393972",
                "riskassessmentbasic": "<p>Major tourist attractions, urban centres</p>",
                "trend": 0,
                "trendprojection": 0

        ],
        "trendinfo": {
            "showtrend": 0,
            "showtrendprojection": 0,
            "trenddescription": "The general direction or trend in which.",
            "trendprojectiondescription": "The projected trend is a prediction of future."
        }
    }

Copy

Both API calls will return the same data structure. The only difference is the data it contains.

### 4. Read Compiled Region Card

The country risk assessment data is also present in the read compiled region card. In the response call under the param "tree"

\[GET\]

[http://api.safeture.com/regioncard/getcompiled?language={language}\&regionid={regionid}](http://api.safeture.com/regioncard/getcompiled?language={language}&regionid={regionid})

Response example:

    {
        "regioncard": {
            "region": {
               ...
            },
            "providers": [
                ...
            ],
            "tree": [
                ...
            ],
            "viewid": "...",
            "structure": [
                ...
            ]
        }
    }

Copy

In the object with the heading id "safetureSafety", the parameter's children will contain the new risk assessment object with a heading id "safetyAndSecurity-Risk Assessment". Inside the data parameter, the same risk assessment structure as mentioned under the section above country risk assessment data will be found.

Note that your risk assessment data might be structured under a different heading id than safetureSafety, but the general structure will be the same.

An example of what it can look like is shown below:

    "regioncard": {
            "region": {
                ...
            },
            "providers": [
                ...
            ],
            "tree": [
                {
                    "headingid": "safetureSafety",
                    "payloadtype": "text/html",
                    "vieworder": 2,

                            "data": [
                                {

### 5. Mapping the UUIDs

Now that we have the needed data, it is time to map it correctly. The data we got from risk level and risk categories API will be added to the risk assessment object. The reason for doing so is not to have to send the same data repeatedly. Instead, we append the risk level data and risk category data to the region risk assessment object.

Use X uuid \& Y uuid respectively for matching risk level and risk category as explained below:

1. Firstly, get all the content producer's risk levels and categories. We already have them saved and cached.

2. Check that you have all the data to start the mapping.

3. Make a dictionary of the risk levels with UUID and the same with risk categories for a quicker look-up.

4. Add the risk level data to the region risk assessment with the risk level UUID.

5. Note that this is built dynamically, meaning that the risk level or risk categories can potentially be removed by the content producer at any time. Therefore, a check if data mapping is possible is needed every time.

6. Check that the region has risk assessments added to it. Your content producer might have made risk assessments for subregions within a country or the country as a whole.

7. Loop the risk assessment array with a filter so we will not return it to the final array if we can't map the data. Because Showing UUID is not readable for the user.

8. Override the new, mapped risk assessment.

9. Finally, return the regionriskassessemnt object with the mapped data.

## **Enhance Risk Management: Joint Travel Bookings Now Available**

Release date: April 29, 2025

We're excited to introduce **Joint Travel Bookings** -- a new feature designed to help you manage the risks of group travel. This feature automatically detects when multiple travelers are booked on the same flight, giving you better visibility and control.

**Key Benefits:**

* **Customizable threshold**: Set notifications based on the number of travelers on the same itinerary to align with your organization's travel policies.

* **VIP threshold**: Configure a separate threshold for VIP travelers to stay informed when key personnel travel together.

**Joint Travel Bookings** is available to all customers with travel booking functionality. The system flags a booking when the number of travelers on the same itinerary meets or exceeds the configured threshold.

**Additional Features:**

* **Email Subscription**: Administrators can subscribe daily email summaries in the Personal Settings page to receive updates on joint travel bookings.

* **Booking Overview**: In the Travel Data module, Joint Travel Bookings are highlighted with a yellow badge.

We hope this feature improves your travel risk management. For assistance, please contact our [++**Client Development team**++](mailto:clientdevelopment@safeture.com).

## Improvements to the Facility Management Module

Release date: April 1, 2025

We have now improved bulk facility management by introducing an export function. This update allows users to export facility data to an XLSX file, making it easier to manage and update large datasets. The exported file follows the same structure as the import template, ensuring seamless handling. Existing facilities can be updated in bulk, while new ones can be added as needed. Each export includes the UUID, which enhances compatibility with APIs. The import preview clearly indicates which facilities will be updated or added, providing better control over data management.

# How to manage your location sharing

Last updated: August 17, 2026

## About My Location and Location Sharing

The My Location settings in the Safeture app let you control how your location is shared. You can choose how precisely your location is reported or turn off location sharing completely.

Sharing a more precise location allows Safeture to provide alerts and safety information that are more relevant to your location.

## 1. Open My Location

From the app's home screen, open My Location.

Here you can view your current location and manage your location settings.
![My Location App Homescreen.jpeg](https://help.safeture.com/__attachments/a_75ce4b884d697d990855b1ce9208ee2c2eafd93fa1fec5066721b65cf5ad8d1b/My%20Location%20App%20Homescreen.jpeg?cb=df2cb015597352c688537793c5ad4f11)

## 2. Open Location Services

Go to the tab Location Services to manage how your location is shared.

From here, you can turn off location sharing completely or enable Location Masking to reduce the accuracy of your reported location.

If Location Masking is not enabled, your exact location is reported.
![Location Services in app.jpeg](https://help.safeture.com/__attachments/a_1c2576213a7d11a24d44138216c8bfc67c3f402c884e633d4b3372d0728382f0/Location%20Services%20in%20app.jpeg?cb=226d462b9993ea43d14cdbb7f964049f)

## 3. Choose your privacy level

Enable Location Masking to choose how precisely your location is reported. A more precise location allows Safeture to provide more relevant alerts based on where you are.

You can choose between City and Region/State:

### City masking

Your location is masked within a 20 × 20 km area. This provides additional privacy while still allowing you to receive alerts based on your approximate location.

### Region/State masking

Your location is reported at the region or state level. The app determines which region or state you are currently in and uses this to represent your location. Safeture follows [**ISO 3166-2**](https://www.iso.org/standard/72483.html) for defining countries and respective subdivisions.
![Location Masking.jpeg](https://help.safeture.com/__attachments/a_a0c8c8c4d6b5267938129f572ceb162f32bdc146d794188636382f2bf74ef05f/Location%20Masking.jpeg?cb=272f48ce89b3f76da9b7197dd5dbfed9)
**Note:** If you turn off location sharing, the Safeture app will stop reporting your location. This means that your organization will not be able to see your current location, and you may not receive alerts or safety information based on where you are.

Turning off location sharing may also limit other location-based features in the app.

# Chats

## Introduction to Chats

A chat is a two-way communication channel between an administrator and one or more users. When a chat is initiated, an invitation message is sent via email (and SMS if selected). Users with the app installed will also receive a push notification, allowing them to respond to the chat request directly within the app.

If you need to send information to your users, such as reports, use the **Message** feature instead. Messages are one-way communication and cannot be replied to by end users. See [this guide](https://support.safeture.com/send-a-message) to learn more about using Messages.

## Using the Chat function:

### Set up your new Chat

To access the New Chat page, open the menu on the left-hand side and select **Communication \> New Chat**. Enter the required information:

* **Title:** Provide a title for your message

* **Message:** Compose the content of your message

In the menu on the right, configure your sending options:

* **Include as SMS:** Allows you to send the message via SMS in addition to email and the app.

* **High-Quality SMS:** Activates the advanced SMS routing system, which uses alternative delivery routes and up to 10 retries in case of issues, maximizing delivery success. *Note: This feature may incur additional costs depending on your agreement. Without it, SMS will use standard routing with no retries for failed deliveries.*

* **Include "Are you OK" Request:** Adds an option for recipients to respond and indicate if they are OK.

* **Allow Users to See Each Other's Messages:** When enabled, the chat becomes fully transparent, allowing all participants to view all communication. If disabled, only administrators can see messages from recipients.

* **Send Message to Facility Managers Only:** This option appears if one or more Facilities are included in the recipient list. When enabled, the message will only be sent to Contacts marked as "In Management" for each Facility, excluding other associated Contacts.

![image-20241206-161935.png](https://help.safeture.com/__attachments/a_f929af71077bc07374ac34ecc7f0d1339187f28a59ce5d898790bb7a37e967f6/image-20241206-161935.png?cb=1cbcc40e28ef321f9f77003c86c03ea1)
*New Chat interface in the Communication Module*

### Add Recipients

After you've completed the message content and configured the sending options, it's time to add recipients to the chat. There are two methods for adding recipients:

**Quick Add:**The simplest way to add recipients is by using the Quick Add Recipient function. This allows you to search and add any type of recipient (App User, Traveler, Facility or Group) through a free-text search.

**Advanced Filtering:**Alternatively, you can use Advanced Filtering to target recipients based on shared parameters available in the filter options. This method enables you to add one or multiple filters simultaneously. Once a filter is applied, you can either:

* Save the result as a dynamic filter for future use.

* Start messaging the selected users directly.

![image-20241206-162139.png](https://help.safeture.com/__attachments/a_3a86a8c27ddbe8641ea0e71b85ce6386ddc319cbc326c4e42667078877ac813a/image-20241206-162139.png?cb=4bfb10ebf230ff77cf071f4e7248678d)

### Optional) Use a previously saved template or save your current settings as a new template

You can save your message content, recipient filters, and sending options as a template for quick access later, making it easier to reach the same recipients when needed. Template supports:

* Chattitle

* Recipient list, including Dynamic filters

* Initial message content

* Sending options

**Note:** Templates are separate for Chats and Messages, meaning a Chat Template cannot be used for a Message, and vice versa. All Chat Templates can be accessed from the right-hand menu on the New Chatpage.
![image-20241206-162241.png](https://help.safeture.com/__attachments/a_94009327576081dacf53be3f09b0329333b45a1543feea07044d84453d60cf29/image-20241206-162241.png?cb=57b9684395e0dccd8bf8bd13edd1340e)

### Send Chat invitation

Click the green button labeled "Send" to deliver your**chat** invitation.

**Note!** When a **chat**is created an invitation message will be sent via email (and SMS if selected) containing a pre-defined message. The URL is unique per recipient and can be used to reply and mark "I am OK".

The image below illustrates how the chat appears within the app.
![image-20241206-162330.png](https://help.safeture.com/__attachments/a_1cd1bc6bab49bf844c38f38a68c13621e058c23898e7f85151a90d6009745d3b/image-20241206-162330.png?cb=3ea3d07a612da66ad74e39b209bf3294)

### Access and manage ongoing Chats

To go back and access an ongoing chat with a user, click "Chats" in the web portal menu. Here you can view all chats, both ongoing and archived. This section provides:

* List of chat recipients

* A count of users who have responded that they are OK

Administrators can add more recipients to an ongoing chat. These recipients will receive individual invitation messages to join the conversation.

It is also possible to start a new chat that includes only users who have not responded to previous chats. This allows administrators to quickly focus on users who may still need assistance after the initial round of replies.
![image-20241206-162425.png](https://help.safeture.com/__attachments/a_7832dc77339e3f8f76ad710f79af17a28b5b53b83748251e5a2f28a8bca1d66d/image-20241206-162425.png?cb=8222451f3465ac2254443e518b2c358c)

### Archiving Chats

Archiving a chat removes it from the active list, and users will no longer have access to or be able to reply in the chat. To archive a chat, open the chat, then click **Actions \> Archive** from the menu on the right. Archived chats are moved to the Archive section but can be un-archived if needed.
![image-20241206-162522.png](https://help.safeture.com/__attachments/a_e6a8b1cf58cb8e56791052c3876b54d859d153f513dc2b38d4cf10eb2c245c6c/image-20241206-162522.png?cb=b587d5447e8865d67194f97f29aa3930)

## Submodules:

### Country Editor

The Country Editor enables you to make edits to the [country information](https://safeture.com/product_detail/country-information-module/) presented in the Safeture platform in different ways. You can choose to either hide existing sections or add your own information in separate tabs for a selected country. The changes done will be reflected both in the Safeture Mobile Application and Web Portal.

**Show/hide default content**

The default country information is organized into different tabs based on the selected Risk Intelligence provider. Each tab contains multiple information sections. Using the Country Editor, you can hide specific information sections for a particular country. For details on the exact tabs used by each Risk Intelligence provider, click below:

* **Riskline**

* **Max Security**

![image-20241021-140708.png](https://help.safeture.com/__attachments/a_83fd29bbb4740155e205d8aca99b7ae0c4b4b60fb867fcfdef322b2ce3dc25e8/image-20241021-140708.png?cb=2f1ca762ca3bd032c5c04a245f413f6d)
**Please note:** A client admin (who manages users within a single account) cannot hide information added by a partner admin (who manages users across multiple accounts). However, the partner admin can hide information sections at both the partner and client levels.

### Risk Levels

The **Risk Levels** sub-menu within the Content Module provides a comprehensive list of overall risk levels for all countries. By selecting "Edit," you can set a new overall risk level for a specific country, overriding the default settings provided by Safeture.

This change impacts several areas of the platform:

* The updated risk level will appear under the Risk tab for that country in both the Safeture Mobile App and web portal.

* Safeture will send a pre-trip email notifying users of any changes in risk levels for upcoming trips.

* The risk assessments widget on the Dashboard will be updated.

* The Risk Map in the Security Overview will reflect the new overall risk level when you select a country.

For partner admins managing multiple client accounts, there is an option to update risk levels across all clients at once.

### Custom Alerts

You are not restricted to using only Safeture's alerts. As an Administrator, you can publish your own alerts through the **Custom Alerts** sub-module. To create a new alert, you'll need to provide the following information: a title, risk category, severity level (low, medium, or high risk), a description of the event, recommended actions, one or more locations, and the affected countries.

**Custom Alerts at Client and Partner Levels**

Custom alerts can be activated either at the **partner level** or the **client level**, but not both simultaneously.

* **Custom Alerts at the Client Level:** If custom alerts are activated at the client level (for a single account where admins manage only their own account), users of that client account will receive only the custom alerts created specifically for their account, and will not receive any custom alerts published by their partner.

* **Custom Alerts at the Partner Level:** If a custom alert is published at the partner level, it will be distributed to all clients under that partner, except for those who have custom alerts activated at the client level.

**Control Safeture Default Alerts with Custom Alerts**

With assistance from the Safeture Client Development team, you can use the **Custom Alerts** feature to manage how Safeture's default alerts are published. Specifically, you can prevent the automatic publication of default alerts and instead review and control them before releasing them.

Here are the available settings for managing Safeture's default alerts:

* **Pending Publish:** System alerts will appear in a pending list within the Custom Alerts view in the web portal. The admin can manually review and decide which alerts should be published.

* **Delay in Publication:** This option allows the admin to set a delay for publishing alerts, giving them time to review and potentially stop any alert from being released. The default delay is 15 minutes.

* **Publish:** Alerts will be published automatically, following the standard process.

* **Discard:** Safeture's default alerts will not be published at all when this setting is selected.

# Customize the display of information on the Risk map

In this guide we will have a look at how to customize the map in the security overview module.

## 1. Navigate to the Security Overview

Click "Security Overview" in the left-hand menu in the web portal.
![Guide_Customize-info-on-risk-map-security-overview-menu.png](https://help.safeture.com/__attachments/a_d7a938db1e74da0a7e8c130604dacbb98fa2894dbf53d9d7092487fddad3ae8c/Guide_Customize-info-on-risk-map-security-overview-menu.png?cb=a779269f986358ea572aa79419a57151)

### 2. Choose map type and information layers

The security overview map typically shows alerts, facilities, and end-users by default. However, you have the option to customize the information displayed on the map. Simply hover over the layers icon located in the top right corner of the map, and a menu will appear. From this menu, you can select the type of map you want to display the information on and choose which information layers to show.

Click on your preferred level of clustering at the top-right corner. When zooming out on the map in the Security Overview with a cluster option enabled, the alerts will be displayed in clusters with a number representing how many alerts are joint together. The cluster is also given the color of the highest severity level out of the clustered alerts and will display a blue border presenting the outer bounding border of all incidents when hovering over the icon.
![Guide_Customize-info-on-risk-map-cluster-alerts.png](https://help.safeture.com/__attachments/a_5b66dbb7220033cba28e017e785e30f123a204130be834a9becc4a7b67db490c/Guide_Customize-info-on-risk-map-cluster-alerts.png?cb=0cc3032f284adbaa05b0d2a7ad72cf3e)
To improve your user experience, all filters and options mentioned above are stored in the browser's local storage, which means they will remain as they were between sessions and when navigating back and forth on the Web Portal.

# Dashboard

**Last updated:** April 20, 2026

## Introduction to the Dashboard

The dashboard provides a quick overview of your current risk situation, highlighting potential threats to your organization or clients. It displays risk information for a single account at a time, and if you manage multiple accounts, you can easily switch views using the Account Selector.

As an administrator, the dashboard helps you identify urgent threats, such as ongoing emergencies, assets near incidents, missed check-ins, travelers in risk zones, and more.

## Dashboard Widgets

### Account Selector

When managing multiple accounts at the same time, you can use the Account Select function to easily switch between different account views. This function is located at the top right of the Web Portal on all modules.
![image-20241001-081239.png](https://help.safeture.com/__attachments/a_791d13f6856fdeb081363373689deb3a280cb3508f9041643c6a32dad35e96d3/image-20241001-081239.png?cb=eaa00927b5f826ec1716a048892e2cbe)

### Subscription Overview Widget

The subscription overview widget provides information on the number of active users compared to the number of purchased user licenses for all the subscriptions in your account.

An account can have multiple subscriptions to cater to different user types. For instance, you might have one subscription for all your app users, another for your facility contacts, and a third for users entering the system through a travel booking (PNR). # December 2025

## New Visualization Interface in the Analytics Module

**Release date: December 22, 2025**

Today, we're beginning the rollout of an update to the underlying tool used for data visualisation within our Analytics module. We're migrating reports gradually, starting with the most commonly used ones. Your data and dashboards will remain unchanged, with a refreshed visual appearance.

We've also resolved a bug affecting how users impacted by alerts were reported. If you've already exported 2025 data, please note that recent corrections may result in variations compared to earlier figures.

This update gives us greater flexibility to evolve the user interface over time, enabling a more consistent, intuitive, and easier-to-navigate analytics experience in the future.

## Welcome SMS update

**Release date: December 16, 2025**

We are updating the way our platform delivers Welcome SMS messages when entering a new country. These updates are not expected to impact the overall experience, but the delivery behaviour may differ slightly compared to before. If you notice anything unusual or experience any issues with Welcome SMS going forward, please don't hesitate to reach out to us at [clientdevelopment@safeture.com](mailto:clientdevelopment@safeture.com)

# Disable battery optimization

## Battery consumption

The Safeture Application has been optimized to provide good location tracking with minimal battery usage. Battery consumption per day is only a few percent when in the background with all features active.

## Android

Android has introduced settings that terminate background activity of apps which improves battery life and overall performance but hinders the Safeture Application to work at its best. Please follow the list below to make sure the Safeture Application is working within optimal conditions. With the location settings displayed below, the Safeture Application will be running optimally and provide you with its full range of services.

### 1. Go to Settings on your device

### 2. Open Apps

### 3. Search for "Safeture" in the list

### 4. Locate "Battery"

### 5. Select one of the three following options

* Unrestricted (recommended)

* Optimized

* Restricted

## iOS

The Safeture Mobile Application runs in the background, using its features in a way optimized for longer battery life, which results in only using a few percent of your iOS device per day. There is no special setting for battery saving for iOS. Make sure that location service is always on as mentioned above and you are ready to travel with Safeture.

# Adjusting Country Risk Levels

**Last Updated:** February 19, 2026

Each country has an assigned overall risk level, which is a weighted summary of the risk levels across various categories. The overall risk level varies based on the Risk Intelligence provider you're using. You also have the ability to adjust a country's overall risk level to meet specific requirements, such as insurance policy needs. This guide outlines how to adjust country risk levels manually in the Safeture web portal.

## 1. **Accessing Risk Levels**

* In the web portal, click on 'Content' from the left-side menu.

* A drop-down will appear. Select 'Risk Levels' to open a page showing the risk levels for all countries in one place.

### 2. **Editing Risk Levels**

* Locate the country whose risk level you want to modify.

* Click the Edit button next to that country to proceed.

![Modify Country Risk Level.png](https://help.safeture.com/__attachments/a_e24e14b8882827f9a38171515ca6d2150356a99f92ed2a9cd8fa39d96b89b917/Modify%20Country%20Risk%20Level.png?cb=f1ebbd45b96e224c8f913f1d949d8806)

#### 3. **Setting a New Risk Level**

* Choose a new risk level for the country from the following options: negligible, low, medium, high, or critical.

* Optionally, add a description or any custom information that is relevant to users, which will appear alongside the new risk level.

Once done, click the Save button in the bottom-right corner.
![Save New Risk Level.png](https://help.safeture.com/__attachments/a_333a16b01e87a206eb1bca71c33fc1596e84f111cd0d5b998ebefa8bfa9a65e6/Save%20New%20Risk%20Level.png?cb=3c68be6e6a42105b5f119a474a6e0fe5)

**How Changes Will Impact the System:**

* **User View** : The updated risk level will be shown under the **Safety** tab in the country information section of the Safeture app.

* **Pre-Trip Alerts**: The new risk level will influence which pre-trip alert emails are sent.

* **Dashboard Widgets**: The updated level will adjust which countries appear in widgets that highlight users traveling to or located in high-risk areas.

* **Risk Map**: When clicking on a country in the Security Overview risk map, the new overall risk level will be displayed if changes were made.

## Pre-trip emails

Before a trip, travelers can receive pre-trip information via email. The pre-trip email includes details such as booking reference, flight/train/rental car/hotel details and any changes in the risk level at the traveler's destination

The pre-trip email can be triggered by new bookings processed through the platform, changes in the destination's risk level, or scheduled time entries associated with the booking.

The pre-trip email can be triggered by:

* **New bookings processed by the platform**

* **Changes in the destination's risk level:**If the risk level at a location changes, the platform can automatically send an alert email to travelers who haven't yet started their trip and travelers that are currently in the affected area. If there's no change in the destination's risk level, no risk-related information will be included in the pre-trip email.

* **Based on scheduled time entries in the booking:**The system may resend pre-trip emails as travelers' registered time entries (PNR data) approach, ensuring they receive updated information before each segment of the trip.

**Exclude Pre-Trip Emails for Specific Regions**

Pre-trip email automation can be customized to omit certain regions by defining a blacklist, preventing emails from being triggered for those locations.

**How to activate Pre-trip emails**

The Pre-trip email automation is typically set up during the onboarding process, but it can also be configured at a later time if needed.

## Post trip-emails

The Post-Trip Email feature in the Safeture platform is designed to enhance communication with travelers after their trips have concluded. This feature automatically sends an email to travelers, providing client-specific information, including text and external links. It ensures organizations can maintain engagement and deliver relevant content to their travelers even after their journeys are completed.

The email includes a default template, which features a customizable section that can be tailored to include client-specific information, such as post-trip surveys or additional resources. This flexibility allows organizations to use the post-trip communication to gather feedback, share important follow-up details, or provide links to other services.

The feature can be configured on a per-client basis, giving each organization control over whether to activate post-trip emails for their travelers.

**Email triggers**

Emails are sent automatically based on the platform's travel booking logic, ensuring they are delivered once a trip has ended. This automation eliminates the need for manual intervention while maintaining precise timing and relevance.

**How to activate Post-Trip Emails**

This email subscription must be activated with the assistance of Safeture's [Client Development team](mailto:clientdevelopment@safeture.com).
