Add Travel Bookings via Email Parsing

Safeture offers a seamless way to integrate travel booking data by sending booking confirmations to a dedicated email address. These emails are automatically parsed to extract both booking and traveler details, with the system intelligently matching the data to existing Safeture users.

This feature enables both Safeture users and TMCs/travel managers to integrate booking data into the Safeture Platform effortlessly—without the need for complex integrations or technical expertise.

There are two different methods for email parsing. Select the option that is most suitable for your situation, and follow its instructions.

Please note: This feature only supports travel bookings containing a single traveler. Bookings with multiple travelers cannot be parsed.

Method 1: End-user instructions

If you're an end-user parsing emails for your own travel bookings, please follow these instructions:

When you receive a travel booking confirmation via email from a booking agency, forward it to: <client_name>@safeturetravel.com. Replace <client_name> with your organization's name.

Best Practices Before Forwarding:

  1. Use the Correct Email: The email must be sent from the same address registered in the Safeture platform.

  2. Correct Recipient: The <client_name>@safeturetravel.com address must be placed in the TO field.

  3. Send Only the Booking Confirmation: Forward the original booking confirmation email, including any attached PDF itinerary. Avoid sending:

    • Pre-trip approvals

    • Non-itinerary emails

    • Invoices or other unrelated content

  4. Follow Instructions Carefully: If these guidelines aren’t met, the platform may not be able to process the booking.

By ensuring these steps are followed, your travel booking data will be seamlessly integrated into the Safeture platform.

Method 2: Parsing on behalf of someone else

As an alternative to the user-forwarding option, you can send travel booking confirmations on behalf of another traveler—without their direct involvement.

Send these emails to: <client_name>.tmc@safeturetravel.com

Example Use Case:

You can forward a colleague’s travel booking confirmation or have your Travel Management Company (TMC) send it directly to the Safeture Platform.

Important Guidelines for Successful Parsing

  1. Send the Email Directly to the Traveler:

    • The TO field must contain only the traveler’s email address.

    • This email must match the address the traveler has registered in the Safeture platform.

  2. Use the Correct CC Recipients:

    • Add <client_name>.tmc@safeturetravel.com in the CC field.

    • Any other recipients (besides the traveler) should also be placed in CC, not TO.

  3. Forward Only the Booking Confirmation:

    • Include any PDF itinerary attachment if applicable.

    • Do not send pre-trip approvals, non-itinerary emails, invoices, or other unrelated content.

Failure to follow these instructions may prevent the platform from processing the booking correctly.

By ensuring these steps are met, travel booking data will be seamlessly integrated into the Safeture platform.
